Who we are

GabeBot is the community management bot of the Topline Studios Discord server, run by the Topline Studios team ("we", "us"). This policy explains what GabeBot collects, why, and what you can do about it. Linking your Roblox account through verify.toplinestudios.gg is covered in more detail by its own verification privacy policy.

What GabeBot collects

Your Discord account and membership: your user ID, username, display name, avatar, server nickname, roles and join date, as Discord shares them with bots in the server.
Messages you send in the server: GabeBot reads messages to run commands and to enforce server rules automatically (for example blocked words, scam and raid detection, link and formatting limits). Message content is not stored by this filtering, except when a message is flagged, edited or deleted, in which case a copy is posted to a staff-only log channel in the server.
Server activity: joins and leaves, nickname and role changes, and voice channel activity, logged to staff-only channels.
Moderation records: warnings, timeouts, kicks and bans, with the reason, the staff member involved, the date and any evidence links.
Support tickets: what you write in tickets, reports and appeals, including transcripts kept after a ticket closes.
Levels and engagement: XP, message and voice activity counts, awards, starboard entries, poll and election participation, and keywords you choose to be notified about with highlights.
Your birthday, if you set one: the date of birth you enter with /setbirthdate. On the day, GabeBot posts a birthday message in the server that mentions the age you are turning. Staff can remove it on request.
Giveaways: entries, winners and the prizes handed out. Prizes for the Mafia game are delivered to your linked Roblox account.
Your linked Roblox account: your public Roblox user ID, username and display name, once you verify.
Staff only: for members of our staff team, staff points, activity records and the information used to sign in to the staff dashboard with Discord.

GabeBot itself never sees your email address, your passwords, your IP address or any payment information (the verification site's abuse checks are explained in its own policy). We never sell your data.

Why we use it

To run the features you use: commands, tickets, levels, roles and giveaways.
To moderate the community and keep it safe, including spotting ban evasion and alternate accounts.
To connect the Discord community with the Mafia Roblox game: nicknames, game-related roles, prizes and bans.
To fix bugs and keep the bot running.

Who can see it

Logs, moderation records and ticket transcripts are only visible to our staff team, according to their role. Some things are public in the server by design, for example level-up messages, leaderboards, starboard posts and giveaway winners. We share nothing with third parties except:

Discord, which GabeBot runs on.
Roblox, whose public APIs GabeBot calls with your Roblox user ID, for example to check whether you own a game pass, and to apply bans and deliver prizes in the Mafia game.
When the law requires it.

Storage and retention

Data is stored on servers we rent and operate, and in the staff-only channels of our Discord server. Moderation records and ticket transcripts are kept for as long as the community runs, so that earlier rule breaking can be taken into account. Levels, giveaway history and the Roblox link are kept until you ask us to delete them. Leaving the server does not delete your data automatically.

Your choices

You can ask to see the data GabeBot holds about you, to correct it, or to have it deleted, by opening a support ticket in the Topline Studios Discord server. We may keep moderation records where we need them to protect the community, for example to stop a banned user from coming back.

Children

You must meet Discord's minimum age (13 in most countries) to use Discord, and therefore GabeBot. We do not knowingly collect data from anyone younger.

Changes

We will update this policy when GabeBot starts handling data differently. The effective date above shows the latest revision.
